Accounting: accounts, journals & controls

Use USD/LBP accounts, recorded exchanges, journals, reports and posting-period controls.

Enable Accounting

Accounting is a premium module with a separate add-on price. Enable it in Modules, then open Accounts & exchanges. Create cash or bank accounts with recorded opening USD and LBP balances. Opening amounts represent funds already held, not new deposits.

Post an account exchange

  1. Choose the source account, source currency, and amount to deduct.
  2. Choose the destination account and the other currency. The destination account can be the same account or a different account.
  3. Enter the agreed rate: one unit of source currency equals that many destination units. Add the date and a receipt or reference.
  4. Choose Post exchange. The source deduction and destination receipt are recorded together; insufficient funds are rejected.
  5. Review the updated balances and exchange history. Received amounts round to two decimals; posted entries cannot be edited. This records a completed exchange and does not send money through a bank.

Correct an exchange

Use the exchange reversal workflow with a correction date, reason and confirmation. It reverses the original recorded amounts instead of using a new rate or editing history. Available funds and posting-date controls still apply. Where source journals are linked, correct the exchange itself; do not reverse its journal legs independently.

Chart of accounts and journals

  1. Open the chart to create a ledger account with a unique code, name and account type. Posted history is retained when an account is archived.
  2. Open Journals and create a posting in USD or LBP. Supply a date, reference and at least two lines. Every line has either a debit or a credit, and totals must balance exactly.
  3. Review the posted entry and follow its account links into the ledger. Posted lines cannot be edited; use a reversal for an incorrect manual journal.
  4. A manual journal does not itself change operational cash balances. Mapped cash and deposit controls are protected from manual adjustment; use the relevant source workflow.

Deposits and mapped source postings

Customer deposit receipts and refunds affect the selected cash or bank account; allocations reduce the customer deposit without moving cash. Configured mappings connect deposit and exchange operations to sealed journal entries. Accounting must remain enabled for these linked postings. Existing historical data is not automatically backfilled when a mapping is added. The seeded demo has its own prepared mappings and opening journals.

Configure posting destinations

  1. As a company manager, open Posting setup from Accounts & exchanges. Inspect the dedicated cash controls, exchange clearing, deposit liability and deposit allocation destinations.
  2. For an unconfigured destination, choose Configure. Only active, unmapped ledger accounts of the required classification are offered. Create an eligible account in the chart if none is available.
  3. Select the account, record a reason and explicitly confirm the permanent mapping. The destination is fixed by the form; established mappings cannot be reassigned here.
  4. Use Review cash openings and Review historical journals for their separate preview-and-confirm workflows. Mapping alone does not create openings, historical journals or cash movements.

Review cash openings

  1. From Posting setup, choose Review cash openings, then the account and currency. Compare the recorded opening with the separately displayed current balance.
  2. Supply the actual effective opening date and an active equity counterpart. Do not substitute today or the current cash balance. The opening date must not follow the first recorded cash movement.
  3. If an opening journal already exists, select it for recognition. Preview checks its exact currency, date, cash debits and equity credit, including all lines of a combined opening journal. Each cash account in a combined journal requires its own review.
  4. Inspect the preview and resolve blockers. Supply a reason and confirm to create the missing opening journal, recognize an existing one, or record a zero opening without a journal.
  5. The saved result cannot be initialized again. Operational cash balances do not change, and later cash movements cannot be backdated before the confirmed opening date.

Review historical source journals

  1. From Posting setup, choose Review historical journals, then Exchanges or Deposits. Open the saved source; its recorded correction is included where one exists.
  2. Inspect the exact saved dates, currencies, amounts and proposed ledger lines. Already integrated means matching linked journals exist; no additional posting is offered.
  3. Review any unlinked manual journals listed. If they already represent this source, do not create more journals. Otherwise explicitly acknowledge that review, state a reason and confirm the preview.
  4. Changed mappings or history require a fresh preview. Closed posting dates and partial or inconsistent links require investigation; the system does not repair them automatically.
  5. Migration creates journals and links only. It does not repeat the exchange, receipt, refund, allocation or correction, and does not change cash or customer balances. This is not a WordPress or file importer.

Reports and current reconciliation

  1. Open Journal reports to inspect a trial balance, profit and loss, balance sheet or account ledger for the selected currency and dates. USD and LBP remain separate rather than being added together.
  2. Open Current reconciliation to compare operational cash and customer-deposit balances with their mapped sealed journal balances.
  3. Review source coverage as well as differences. Missing deposit links, incomplete exchange legs, correction mismatches and unsealed entries require investigation.
  4. A matching current control is not certification of historical balances, line accuracy, completeness or statutory financial statements. Do not force a match with manual postings to protected control accounts.

Accounting periods

Create non-overlapping date ranges. Closing a period requires a reason and confirmation and prevents new postings on or before its end date, including earlier gaps. A manager can reopen it with a recorded reason; later closed periods may still block those dates. Closing a period is a posting lock, not an automatic transfer of earnings or approval of financial statements.

Rates and release limits

Operational accounts and exchanges support USD and LBP with two decimal places. The currency registry and dated reference rates do not convert account balances or rewrite posted exchanges. There is no standalone currency converter or live market-rate service. Demo rates are fictional. Automatic exchange gain/loss revaluation, bank connectivity, Lebanese statutory calculations and a controlled historical import are not implemented. This remains a development preview with incomplete integration and release verification.
