Customer deposits and allocations

Record receipts, refunds, allocations and exact corrections without repeating payments.

Enable the right modules

Owners and administrators manage Deposits. Enable Accounting for receipt and refund cash/bank movements, and for corrections involving cash. Once deposit posting destinations are configured, Accounting must remain enabled for linked postings, including allocations. Existing deposit history remains available through the enabled Deposits module.

Record a receipt

  1. Open Deposits and choose Receipt. Select the customer, USD or LBP, and the cash or bank account that actually received the funds.
  2. Enter the positive amount, actual date and reference, then submit.
  3. Review the customer deposit balance and cash account. A receipt increases both in the selected currency. This records funds received; it does not collect payment or contact a bank.

Allocate or refund

  1. Use Allocation when applying a customer deposit to an obligation. Enter an allocation reference describing what it covers. Allocation reduces the deposit balance without moving cash.
  2. Use Refund when funds were returned to the customer. Select the cash or bank account and record the amount, date and reference. A refund reduces both the deposit and the selected cash balance.
  3. Allocations and refunds cannot exceed the available customer deposit. Cash movements also respect cash availability and dated balance controls.
  4. Keep USD and LBP separate. Use the Accounting exchange workflow for a real currency exchange, not an allocation to simulate conversion.

Correct a recorded movement

  1. Find the original entry in History and use its reversal action.
  2. Enter a correction date on or after the original entry, explain the correction and confirm.
  3. The correction reverses the exact original amount and associated cash movement where applicable. It does not use a new exchange rate or edit the original.
  4. An original can be reversed only once, and a reversal cannot itself be reversed. Balance and posting-period restrictions still apply; investigate dependent activity if a correction is rejected.

Balances, history and exports

Balances show current customer amounts and can be filtered by customer and currency. History adds date-range filters and preserves originals and corrections. Use the corresponding CSV export for your records. A dated history export is not an automatically reconstructed historical balance or a certified financial statement.
